Downsizing checklist

A room-by-room plan for emptying a lifetime of belongings with dignity: what to keep, what to donate, what to sell, and what to dispose, with a written record the whole way through.

Labeled moving boxes and inventory tags in a bright living room during an orderly downsizing

The Method

Every item gets one of four destinations: keep, donate, sell, or dispose. The family decides what matters first, keepsakes are set aside and recorded, and everything else follows the most appropriate channel for that item.

Work one room at a time, top to bottom, and record each decision. The record matters for the estate, and the rhythm matters for the people doing the work: one room finished is a win, and the next room is easier.

The Checklist

Room by room

Before You Start

  • Set the destination and the timeline with the family first.
  • Ask the loved one what matters most before anything is moved.
  • Set up four labeled zones: keep, donate, sell, dispose.
  • Keep a notebook or spreadsheet as the written record.
  • Photograph items of value before they leave the home.
  • Confirm what the new home can actually hold before keeping anything.

Kitchen & Dining

  • Keep the everyday dishes, cookware, and utensils the loved one will actually use.
  • Sort the china, crystal, and heirloom pieces; record and distribute to family.
  • Check the pantry and refrigerator; donate unopened non-perishables.
  • Small appliances: keep the few in use, donate or sell the rest.
  • Dispose of expired food, spices, and anything past its useful life.

Living Room & Den

  • Keep the furniture the new home needs; measure the new space first.
  • Sort books: keep the meaningful few, donate the rest to a library or charity.
  • Photographs and albums: keep, digitize, and share copies with family.
  • Electronics: wipe data before selling or disposing of old devices.
  • Art and decor: record anything of value, then decide keep, gift, or sell.

Bedrooms & Closets

  • Keep the clothing worn in the last year; donate the rest in good condition.
  • Set aside shoes, coats, and seasonal wear for the new climate and routine.
  • Linens and bedding: keep a practical set, donate the surplus.
  • Jewelry and valuables: inventory and secure before anything else.
  • Important papers: collect and organize; do not dispose of anything financial or legal.

Attic, Basement & Garage

  • Do not sort these rooms alone; they hold the hardest decisions.
  • Holiday decorations: keep a small set, donate or dispose of the rest.
  • Tools and yard equipment: keep what the new home needs, sell the rest.
  • Old paint, chemicals, and batteries: dispose of responsibly, never in the trash.
  • Boxes of "maybe someday": open every one, decide, and close the loop.

The Record

  • Record what went to which family member, with photos of valuables.
  • Keep receipts for donated items of value; they may matter for taxes.
  • Note what was sold and through which channel, for the estate file.
  • Share the completed record with the family and, if applicable, the attorney.
  • Bring the record to us; it feeds the sale and the move plan.
